3. Obsługę formalną i organizacyjną całego procesu, w tym:

o uzyskanie wszelkich wymaganych pozwoleń, zgód, rejestracji, opłat etc.,
o pełne zabezpieczenie techniczne i logistyczne realizacji.

Key technical guidelines:
A part of the booth shall be constructed using a modular wall system, allowing for various arrangements and configurations within the booth space. The modular system must enable flexible rearrangement of the booth layout during the trade fair, depending on the current needs of the Contracting Authority.
After the end of the trade fair, all modular booth elements, i.e. exhibition walls, must be dismantled, properly secured and delivered to JRC Group S.A. – production facility in Jarocin (Poland), where they will be stored. These elements must not be left behind, disposed of, or stored outside the control of the Contracting Authority, in particular in Hong Kong.
The offer shall include all activities and costs necessary for the execution of the subject of this Request for Proposal, including dismantling, securing and handover of the modular booth elements to JRC Group S.A. – production facility in Jarocin (Poland), where they will be stored.
The Contractor assumes full and exclusive responsibility for:
1. Complete execution of the booth in accordance with the provided design, including:
o construction of the structure,
o transport, installation, finishing,
o use of required materials and visual elements consistent with the design.
2. Compliance with the rules and regulations of the fair organizer – the booth must fully meet all technical, formal, organizational, and aesthetic requirements imposed by the organizer of Audio Hong Kong 2026. Any penalties or consequences resulting from non-compliance shall be borne by the Contractor.
3. Formal and organizational handling of the entire process, including:
o contact and ongoing cooperation with the fair organizer,
o obtaining all required permits, approvals, registrations, fees, etc.,
o full technical and logistical support for on-site implementation.
4. Ensuring the presence of a technical team throughout the entire duration of the fair, ready to promptly resolve any issues or respond to other needs related to booth operations.
5. Dismantling the booth after the event in accordance with the schedule and the organizer's requirements, in a manner that causes no damage or disruption.
The Contracting Authority assumes no responsibility for any aspects of contract execution – whether formal, technical, or logistical. All risks, obligations, and liabilities arising from the execution of this contract rest with the Contractor.
